ITS Corporate Solutions (ITSCO) partners with the World Bank Group's Corporate vice presidencies to drive innovation, build effective partnerships, and empower staff to deliver on the promise of a Better Bank. The department's three key units deliver scalable mission-critical IT solutions, ensuring a robust and effective digital architecture based on an evolving ITS strategy. ITSCO comprises of 3 Units: Digital Engagement (ITSCD), Corporate Technology (ITSCC), and Workforce Solutions (ITSWS).
This position is part of the ITSCO PMO team. The selected candidate will be responsible for project/program management inclusive of annual investment plan, reporting and monitoring, and change management for various ITSCO initiatives. S/he will work as part of the ITSCO Front Office team.
Duties and Accountabilities:
â¢IT Annual Investment Planning:
o Coordinate the preparation and overall management of ITSCO Annual Investment Plan under the guidance of the ITSCO PMO Lead.
o Analyze the demands and prepare various data views to present investment scenarios to Management and Governance.
o Work in close collaboration with unit-level PMOs, management and the Governance team for WSJF scoring, prioritizing projects, support enterprise participatory budgeting, Strategic Domain review activities.
o Actively engage in communications, support meeting preparation and assist in engagement facilitation.
â¢Project Portfolio Monitoring and Oversight:
o Monitor the status of the use of funds by project and at the portfolio level.
o Monitor ITSCO unit OKR's ensuring the status is updated as needed.
o Oversee the project status inclusive of scope, schedule, and budget in Clarity (the PPM tool) to ensure that it is updated on a regular basis.
â¢Reports to the Management and Governance:
o Collaborate in close partnership with ITSGO in providing timely reports on the status of program, including the use of funds for the monthly and quarterly portfolio status reports for management and governance bodies.
o Track and report on OKR's. Prepare program/project status reports, Quarterly Portfolio reports and weekly statuses, communications to support the front office and management team with stakeholder engagement, communications, and reporting
â¢Budget Planning and Monitoring:
o Manage administrative and capital budgets. Establish baseline, bottom-up costing for planning, track and communicate expenses to ensure alignment with budgetary constraints, reporting any variances and adjusting as necessary to keep projects on budget.
â¢Vendor and Resource Management:
o Manage resource allocation, contract extensions, and capacity planning to optimize resource utilization. Implement best practices in resource management for effective prioritization.
o Manage vendor onboarding and offboarding, Validate status reports and service level agreements, Invoice payments, annual rate increase and purchase orders.
o Work with sourcing, vendor management office and corporate procurement for Approvals, mini - bid, contractors management.
Selection Criteria
â¢Master's degree with 5 years relevant experience OR equivalent combination of education and experience in information technology, including program management, portfolio management.
â¢Strong understanding of critical linkages between business operations, budget processes, and portfolio management.
â¢Strong understanding of Project Management and Portfolio Management practices with solid experience in collecting and processing project /portfolio management data.
â¢Hands-on experience with tools such as Clarity, Admin Portal, ITVMS, Power BI is required.
â¢Exceptional spreadsheet design and manipulation skills with the ability to research, analyze and synthesize information, interpret data, and present the outcome of the analysis in a clear and concise manner, including though effective presentations
â¢Excellent communication, presentation, and interpersonal skills, both written and verbal, at all levels.
â¢Excellent teamwork and interpersonal skills in operating collaboratively across organizational boundaries including the ability to work independently when required.
â¢Takes personal ownership and accountability to meet deadlines and achieve agreed-upon results.
â¢Displays a Learning Orientation - Stays abreast of new trends and developments in technology and experiments with new approaches or emerging technological solutions to assist current business needs.
